Running an event is one of the best ways to promote your business to a wide and receptive audience. It allows you to break down barriers that a lot of indirect marketing creates by putting you in the same place as your customers and investors. It offers the opportunity for customers to get an inside peek into the future of your business, creating a sense of privilege and loyalty. An event even allows you to create something that’s going to remain in the minds of the people who attended for a long time.

From planning and organization to trying to keep everything running smoothly on the day, there is always a lot to think about when running any event. But there’s one thing that ends up getting ignored far too often, and that is the safety and security of your event. It’s far from the most glamorous or exciting elements, which is probably why it’s so often neglected, but it’s also one of the most crucial aspects of any event. No matter how carefully you plan everything, there is always going to be a chance that something goes wrong. And when that happens, you’ve got to know what to do.

Every great event should always start with a great plan. No plan is complete without a detailed risk assessment. A risk assessment essentially allows you to run through your entire event and predict what could go wrong at any given time. The key to a risk assessment is to be as cynical as possible. Unless you happen to be spectacularly unlucky, then there’s pretty much no chance that all of the things that you imagine might go wrong in your event actually will. But you can guarantee that if you don’t conduct your risk assessment carefully, then the things that you miss will be the things that do end up going wrong. By being prepared for every single eventuality, you can guarantee that you’ll never be caught unawares when something goes wrong.

An event can be a pretty crowded affair, even the most well-organized event can occasionally end up with some people attending who aren’t supposed to be there. This could be because of something as innocuous as people who simply wandered in without paying. Or it could be something even more serious like someone from a competing organization. Maybe the trying to get a close look at your product. The best thing that you can do to avoid this is to use methods of identification. It’s ridiculous to think that there’s any chance of you and your staff being able to handle at your event, even if it’s fairly small. This is because it’s pretty likely that you’re also dealing with quite a lot of other things as well and you simply can’t focus all of your attention purely on security. That way you can focus your energy on all of the other parts of the event that you are probably much more interested in.

Don’t let too many people in

This might sound a bit odd, after all, surely you want as many people at your event as possible? Well, yes and no. If your event becomes overcrowded, then that can become a pretty serious safety issue. You need to make sure that there is always space for people to get around and that there are no risks of people being unable to get out in the event of an emergency. The best thing that you can do is to discuss capacity with the owner of the venue before you even put tickets on sale. That way you’ll know exactly how many people you can allow in from the very start.

Nothing causes more problems at an event than people having no idea where they’re going or what they’re meant to be doing. This is especially true with there is some kind of emergency or if someone needs to get out quickly for any reason. Make sure that the exits are clearly sign posted and that people can see those signs no matter where they are in the venue. You should also make sure that the restrooms are signposted clearly as well.

Make sure it’s accessible

Not everyone is going to necessarily be able to access the same places as others a lot of the time. Make sure that you think about disabled access for both the entrance of the venue itself as well as for any individual elements of the event overall.

These kinds of things might seem a little obvious, but when you’re in the stress and excitement of planning an event, it’s pretty easy for them to slip your mind. By making a note of these things and giving them the right amount of attention, you’ll be able to make sure that your event goes off without a hitch.
